Privacy notice
Your stories are personal. They hold your family, your faith and the years that shaped you. This notice explains what A8 Legacy collects, why, who helps us handle it, and how you stay in control of it.
Who we are
A8 Legacy is the memoir and legacy-film service of MetaMindful LLC, based in California, and is run by Jennifer Ninan. You can reach us at hello@a8legacy.com.
What we collect
- Contact details you give us: your name, email address and phone number.
- Booking details when you schedule a story conversation: the time you choose and any notes you add.
- Your recordings: video, audio or written answers you send through the QR codes in our journal or during interviews.
- Order details when you buy from us: what you bought and where to ship it. Payments are handled by Stripe; we never see or store your full card or bank account number. Journals bought on Amazon are handled by Amazon under its own privacy notice.
- Basic website data, such as pages visited, collected by our website host so the site works and stays secure.
Please do not include other people's private details, such as medical information, in a recording unless they have agreed.
How we use it
- To listen to your stories, transcribe them, and write and produce your book or film.
- To reply to you, schedule conversations, and send what you ordered.
- To send occasional updates, only if you ask for them. Every email has an unsubscribe link.
We do not sell your personal information, and we never share your recordings publicly or with anyone outside the service providers below without your written permission.
Who helps us
We use a small number of trusted services to run A8 Legacy. Each one only receives what it needs to do its job.
| Service | What it does for us |
|---|---|
| VideoAsk (by Typeform) | Receives the recordings you send from the journal's QR codes |
| Zoom | Records interview conversations and creates their transcript |
| Zapier | Moves each recording into your private folder and logs it in our story records |
| AssemblyAI and Anthropic | AssemblyAI turns recordings into text; Claude (by Anthropic) tags them by topic. We use their business services and switch off any option to use your recordings for training. |
| Google Workspace | Our email, and the private, access-controlled folders that hold your recordings, transcripts and story records |
| Calendly | Books your story conversation |
| Netlify | Hosts this website and receives the forms you send from it |
| Stripe | Processes card and bank payments, sends receipts and invoices |
| Higgsfield | Animation tools used to bring your photographs to life for your film |
We may also share information if the law requires it.
How long we keep it
We keep your recordings and transcripts until your book or film is finished and delivered, then delete them within 90 days. If you would like us to keep them longer, for example for a future film or a family archive, just tell us and we will keep them until you ask us to delete them.
If you send a recording from the journal but do not become a client, we delete it within 12 months.
Your choices
You can ask us at any time to:
- send you a copy of your recordings and the information we hold about you,
- correct anything that is wrong,
- delete your recordings and information,
- stop sending you emails.
Email hello@a8legacy.com and we will respond within 30 days.
Keeping it safe
Recordings are stored in private folders that only A8 Legacy can open, protected by two-step sign-in. We do not send recordings as email attachments. No system is perfectly secure, but we take care with your stories as if they were our own family's.
Children
Our services are for adults. We do not knowingly collect information from children under 13. If a grandchild helps with a recording, the adult telling the story is our client.
Do Not Track
Some browsers send a “Do Not Track” signal. Our website does not currently respond to it differently, because there is no common standard for doing so.
Changes to this notice
If we change this notice, we will update the effective date at the top. If a change affects how we use your recordings, we will email you first.
